2. What personal data is collected

Depending on how you use the website, VLV may collect your name, email address, phone number, property/job address, postcode, customer type, preferred contact method, service requirements, enquiry notes, access information, uploaded files and communications with VLV.

Please do not send unnecessary sensitive personal information. If information about health, vulnerability, disability, access needs or safety is relevant to arranging the work safely, only provide what is necessary.

3. How data is collected

Data may be collected when you complete an enquiry form, use the Quote Assistant, upload photos or documents, email VLV, call VLV, use website contact links, respond to emails, or proceed with a quotation, attendance or works.

4. Why the data is used

VLV uses customer information to review enquiries, respond to contact requests, prepare quotations, arrange site visits, carry out electrical works, issue relevant documentation, manage customer communications, administer business records, resolve disputes and meet legal or regulatory obligations.

5. Lawful basis for processing

VLV does not rely on consent for every use of personal data. The lawful basis depends on the situation.

Contract or pre-contract steps may apply when responding to enquiries, preparing quotes, arranging site visits or carrying out works. Legal obligation may apply for tax, accounting, electrical certification, safety or legal records. Legitimate interests may apply for business administration, responding to customers, retaining job records, resolving disputes and improving services. Consent may apply to non-essential cookies, analytics or marketing where applicable.

6. Enquiry forms

Enquiry forms collect information needed to review the requested service and contact you about it. By submitting a form, you agree that VLV Electrical Ltd may use the information provided to review your enquiry, contact you about the requested service, and prepare a quotation or response where appropriate.

7. Quote Assistant submissions

The Quote Assistant helps gather structured enquiry information and may provide an indicative estimate range. It does not create a fixed quote or booking. Information carried from the Quote Assistant into a form is used to help VLV review and respond to the enquiry.

8. Uploaded photos, documents and reports

Uploaded files may include photos, electrical reports, invoices, plans, certificates, site images or similar documents. Uploads are used to assess enquiries, prepare responses, quote works and keep project records where relevant.

Customers should only upload files they are entitled to share. Please only upload files where it is safe and lawful to do so. Do not remove covers, expose live electrical parts, interfere with electrical equipment or put yourself at risk to take photos.

Uploaded files are stored securely and are not publicly listed. Upload links sent to VLV are for review and administration purposes.

9. Email communications

Website enquiries are sent to VLV by email using Google Workspace / SMTP. VLV may use email to respond to enquiries, request more information, send quotes, confirm arrangements and keep customer records.

10. Phone and contact requests

If you call, email or use a phone/email link, VLV may use the contact information and any details you provide to respond to the enquiry and administer the customer relationship.

If you contact VLV Electrical Ltd by WhatsApp, we may use the information you provide to respond to your enquiry, arrange attendance, discuss works, keep business records and manage customer service. Please avoid sending unnecessary sensitive personal information by WhatsApp.

11. Customer and job records

If an enquiry becomes a quote, attendance or job, VLV may keep customer, property, job, invoice, payment, correspondence, certification and project records as part of normal business administration.

12. Certification and legal record keeping

Some electrical works may require certificates, notifications, reports, inspection/test records, invoices, tax records, insurance records or other compliance documentation. These records may need to be retained for legal, tax, insurance, certification, dispute or regulatory reasons.

13. Sharing data with third parties

VLV may share information where required with service providers and processors such as website hosting providers including Vercel, file storage providers including Supabase, email providers including Google Workspace / SMTP, accountants, insurers, legal advisers, certification or regulatory bodies, NAPIT, TrustMark, OZEV/DVLA, manufacturers, wholesalers, subcontractors or other parties involved in the enquiry or works.

Information is shared only where reasonably necessary for the relevant purpose.

14. Supabase and file storage

Website file uploads may be stored using Supabase private storage. Uploaded files are not made public by the website. Secure links or storage references may be used so VLV can review and administer uploaded files.

15. Email and SMTP processing

Enquiry emails and customer confirmation emails may be sent using Google Workspace SMTP. Email providers process message content so enquiries and replies can be delivered.

16. Google Analytics after consent

Google Analytics may be used to understand website usage after consent and where analytics IDs are configured. Analytics helps VLV improve the website and services.

VLV does not use analytics to access private uploaded files, and no personal form content, uploaded file content, uploaded file links, customer names, email addresses, phone numbers or full addresses should be sent to analytics events.

17. Search visibility tools

Google Search Console and Bing Webmaster Tools may be used to understand how public website pages appear in search. These tools do not provide private enquiry form content or uploaded customer files to VLV.

18. Retention periods

Enquiry data is kept only as long as needed to respond, quote, administer and keep reasonable business records. Job/project records, certificates, invoices and compliance records may be retained for longer where required for legal, tax, insurance, warranty, certification, dispute or regulatory reasons.

Uploaded files may be retained where they form part of the enquiry or job record. Customers can request deletion, but some records may need to be retained where legally or commercially necessary.

19. Data security

VLV takes reasonable steps to protect data and limit access to those who need it. No system can be guaranteed completely secure. Customers should avoid sending unnecessary sensitive personal information.

20. Customer rights

You may have rights to request access to your personal data, correction of inaccurate data, deletion, restriction, objection or portability, depending on the circumstances and applicable law.

21. Access, correction or deletion requests

23. ICO escalation route

You also have the right to complain to the Information Commissioner's Office if you are unhappy with how your personal data is handled.
